Why isn't my internship class/section showing up for students to select on their applications?
It could be a couple of reasons. Either your department's academic scheduler has not scheduled the internship course in CourseDog, of the student has selected a 'year/term' in their internship application that your class is not scheduled for. For example, if a student selects 'Spring Term 2026' to begin their internship application, and your class is scheduled during 'Spring-Summer Semester 2026' the internship course will not be available to select in the Internship Class section of the internship application.
What should a student do if AIM won't allow them to add the class to their schedule?
There are multiple things to check:
- Has their application been approved by all parties (Internship Coordinator, possible 2nd Approver, and Experiential Learning & Internships Office)?
- Are they selecting the correct semester or term?
- Are they selecting the correct course and section number?
- Has the add/drop deadline passed?

- Does the course exist in the course catalog?
- (Look through the registration course catalog here).
- Has the class reached maximum occupancy?
- Are they missing any prerequisites?
- Do they have a registration flag on their account?

- Are there holds on their account? Is the course already on their schedule?
- (Check their schedule here).
- Are they trying to enroll in more than 18 credits?
- (Check their schedule here).

Can the Experiential Learning & Internships Office adjust the number of students who can enroll for an internship class on AIM?
Unfortunately not, please contact your department's academic scheduler to adjust the number of available seats in the internship course.
We have a new coordinator in our office who needs IRAMS access. What do you need from us?
To provide the new internship coordinator IRAMS access, please complete and return the IRAMS Access Request Form (IRAM Access Request Form) to experience@byu.edu. We will facilitate IRAMS access and notify the new internship coordinator when access has been granted.
What should I do if an Internship Provider will not sign an Internship Agreement?
Let the provider know that the Internship Agreement activates an insurance policy that indemnifies the internship provider, the university, and the student from any potential damages. An Internship Agreement is required for all organizations where students receive credit for their internships. The agreement outlines responsibilities of the internship provider, the university, and the student. If an internship provider is concerned about language in the agreement, they are welcome to make proposed revisions by redlining the agreement and emailing proposed revisions to Adrienne_chamberlain@byu.edu. The internship providers may also submit their own agreement. If the internship provider does not have their own internship agreement, nor will they redline BYU's Internship Agreement, the student may request an exemption to the Internship Agreement by sending an email to Adrienne_chamberlain@byu.edu.
What can I do if a student selected the wrong internship course/section number in their application, and it's already been approved?
Please email expereince@byu.edu and provide the student’s name, BYUID/Net Id and the internship course number/section you prefer for the student to be enrolled in. Experiential Learning & Internships will open the student’s internship application and revert any approvals. We will select the correct internship course/section number and submit the application for re-approvals. This will clear the student to add the correct internship course/section number to their schedule. Some considerations to note are if the student has already added the incorrect internship course/section number to their schedule, they will need to drop the class. And, if this happens after the add/drop deadline, the Registration Office will add the internship course to the student’s schedule after the application is fully approved.
What can I do if the student's internship application has already been approved but the student didn't add the internship course to their schedule prior to the add/drop deadline?
Send an email to experience@byu.edu including the student’s name, BYUId or Net Id. We will revert our approval on the application and reapprove it. This will generate an email to the Registration Office. They will add the internship course to the student’s schedule. If the internship course hasn’t been added within 24 hours, the student should contact the Registration Office to see if they received the email and/or if there is some type of hold on the student’s account.
I have a student who says they submitted their internship application, but it's not in my queue. What can I do?
If a student’s internship application is not in your queue, two things could have happened. Either the student didn’t click the ‘Submit Application’ button at the bottom of their internship application. Or, the student submitted the application and afterwards realized they selected the wrong internship course in their application and have since submitted their application for the correct internship course. To find out where the application is, you may find the application from your internship coordinator queue by typing ‘Intern01’ in Quick URL Search box. Or you may select ‘Student Internship Application’ from your queue header pull down list of options. At the bottom of the student’s internship application you can see if the application has been submitted with the date/time stamp, and can see the internship course selected in the Internship Class section of the internship application. If the application hasn’t been submitted, make sure an internship course/section number has been selected in the application and then click the ‘Submit Application’ button. This will forward the application to the internship coordinator’s queue.
